CODARIS DIGITAL / POLICIES
Refund & Cancellation Policy
Last updated: 7 October 2026
1. Purpose
This policy explains how cancellation, earned fees, refunds and third-party costs are handled by CODARIS DIGITAL LIMITED (“Codaris”).
Project-specific terms in an agreed quote or Statement of Work (“SOW”) may vary the commercial schedule. Statutory rights that cannot lawfully be excluded remain unaffected.
Cancellation and refund requests should be sent to info@codarisdigital.com with enough information to identify the relevant project, invoice or payment.
2. Fixed-price project payment schedule
Unless the applicable SOW states otherwise, fixed-price projects normally use:
- 30% to start;
- 40% at the agreed milestone; and
- 30% before final handover or launch.
Normal project and milestone invoices are due within 7 calendar days of issue unless the SOW states otherwise.
3. Cancellation before work starts
If the customer cancels before Codaris has started the agreed work, the project start payment will normally be refundable.
Codaris may deduct specifically client-approved third-party costs that have already been committed and cannot reasonably be recovered.
4. Cancellation after work starts
If the customer cancels after work has started:
- Codaris may retain or charge for work actually completed up to cancellation;
- Codaris may charge for work or commitments reasonably and specifically incurred for the project before cancellation;
- completed milestones remain payable;
- genuinely unused future work will not be charged; and
- any remaining balance will be reviewed against the work completed, the agreed scope and approved external commitments.
Codaris will not use a cancellation as a basis to charge for work that was neither completed nor reasonably committed.
5. Milestone payments
A milestone payment becomes payable when the applicable agreed milestone has been completed in accordance with the SOW or otherwise becomes due under the agreed project terms.
Cancellation after a milestone has been earned does not normally make that completed milestone refundable.
This does not remove any remedy that applies because Codaris failed to provide the service as agreed or because applicable law requires a different result.
6. Setup fees
Setup or onboarding fees become earned as the setup work is performed.
If a customer cancels before setup work begins, an unused setup fee will normally be refundable.
If setup work has partly been performed, Codaris will assess the amount earned by reference to the work actually completed or reasonably committed.
7. Recurring services
Unless expressly agreed otherwise, recurring services are month-to-month and billed in advance.
The customer may cancel before the next billing date by emailing info@codarisdigital.com.
Service will normally continue through the already-paid billing period.
There is no automatic partial-period refund solely because the customer chooses to stop using the service before that paid period ends. This is subject to applicable law and any remedy agreed for a service failure.
8. Website Care and Automation Care
Website Care and Automation Care are recurring services and follow the month-to-month rule above unless the applicable SOW states otherwise.
Work outside the included care allowance, new features, new systems, major rebuilds, new integrations and other out-of-scope work may be quoted separately.
9. SEO and advertising-management services
SEO and advertising-management services are recurring services unless the applicable SOW states otherwise.
Fees already earned for completed setup, management, optimisation or reporting work are not automatically refundable merely because the customer later cancels.
Codaris does not guarantee rankings, traffic, leads, sales or advertising returns.
10. Advertising spend
Advertising media spend is separate from Codaris’s management fees and is normally paid directly by the customer to the advertising platform.
Codaris is not responsible for refunding amounts paid directly to an advertising platform. Any platform refund is subject to that platform’s terms, policies and account decisions.
11. Domains, hosting, licences, software and API charges
Domains, hosting, licences, paid software, subscriptions, API usage and other approved third-party charges are separate where applicable.
Once a third-party cost has been committed or paid, it is generally non-refundable by Codaris except to the extent that Codaris can recover it from the supplier or applicable law requires otherwise.
Any supplier-specific refund remains subject to the supplier’s terms.
12. Duplicate or mistaken payments
If a payment was made twice or was otherwise made in error, contact info@codarisdigital.com.
After verification, an amount confirmed as a duplicate or mistaken payment will be refunded to the original payment method where reasonably possible.
13. Service problems
If you believe Codaris has failed to provide an agreed service, please contact us promptly with details.
Where appropriate, Codaris may investigate and offer correction, repeat performance, account credit, partial refund, refund or another reasonable remedy depending on the agreement, work completed and applicable law.
This section does not limit statutory rights.
14. Consumers
Codaris’s services are designed primarily for businesses.
If Codaris agrees to provide a service to a consumer, applicable consumer cancellation and service rights are not reduced by this policy.
Where an applicable cancellation period exists and the consumer asks Codaris to begin the service before that period ends, Codaris will obtain the required express request and acknowledgement before early performance.
If the consumer then validly cancels during the applicable period after requesting early performance, the amount payable for work supplied before cancellation will be handled in accordance with applicable consumer law.
Where the statutory conditions for loss of a cancellation right after full performance apply, Codaris will follow those conditions.
15. Refund method and timing
Approved refunds will normally be returned to the original payment method where reasonably possible.
Refund processing time can depend on the bank, card network, payment processor or other provider.
Where law sets a mandatory refund deadline, Codaris will follow that deadline.
